Xero bank feed missing transactions? How to fill the gap

Bank feeds aren't perfect. A connection lapses, a feed gets disconnected and re-connected, or an account was opened before anyone set up Xero — and you're left with a stretch of missing transactions. The fix is a manual statement import for just the missing dates.

First, pin down the gap

Look at the account in Xero and find the last transaction before the gap and the first one after it. Those two dates are what you need to fill — nothing more, or you'll create duplicates.

If the feed is still disconnected, get it reconnected first so new transactions keep flowing, then deal with the gap separately.

Fill it from your PDF statements

    Download the statements covering the gap

    From online banking, download the PDF statement (or statements) that span the missing dates.

    Convert to Xero CSV with Ledger Pilot

    Upload the PDF and download the Xero file. The statement is checked so the transactions add up from the opening balance to the closing balance, to the cent.

    Trim it to the missing dates

    A statement usually covers more than the gap. Open the CSV in Excel and delete the rows dated outside the gap, so you only import transactions the feed missed.

    Import and reconcile

    In Xero go to Accounting → Bank accounts, open the account's menu, choose Import a Statement and upload the trimmed file. Then reconcile the lines as usual.

Frequently asked questions

Will importing a statement conflict with my bank feed?
Not if you only import the dates the feed missed. Importing transactions the feed already brought in can create duplicate statement lines, which is why trimming the file to the gap matters.
My bank only gives me PDF statements for that period. Is that a problem?
No — that's exactly what Ledger Pilot is for. It turns the PDF into a CSV already laid out for Xero's Import a Statement.
Some of my old statements are scanned. Will they convert?
They can be. When our standard parser can't produce a result that reconciles to the cent — scanned or photographed pages, or a layout we don't recognise yet — the statement can be read with AI-assisted extraction (PDFs up to 30 pages). We only use that result if it reconciles to the cent, and the conversion tells you when AI-assisted extraction was used. How that data is handled is explained on our Security page and in our Privacy Policy.

Do you keep copies of my clients' statements?
Uploaded PDFs are encrypted, used only to extract the transactions, and automatically deleted from our systems within 24 hours — along with the extracted results. If a statement needs AI-assisted extraction, it's also processed by Anthropic under its own retention terms. Our Security page and Privacy Policy have the details.
